Multi-Location Management

Multi-Location Management for Textile & Apparel Businesses

Manage inventory, billing, and performance across unlimited stores, warehouses, or branches from a single dashboard without juggling multiple accounts

Businesses with multiple locations face a unique challenge: each location needs operational independence (its own cash register, stock, and staff) but the owner needs a unified view of what is happening everywhere. ASTech ERP handles both requirements elegantly. Each branch or store is set up as a separate location with its own stock, POS, and user access. Staff at Location B cannot see Location A's customer data unless you explicitly grant them access. But the owner or head office manager can see consolidated reports across all locations with a single click. Stock transfers between locations are tracked as formal internal transactions with proper documentation. If Location A has excess stock and Location B is running low, a transfer order is raised, approved, and recorded. The stock deducts from Location A and adds to Location B with the cost carried across at the original purchase price, keeping both locations' inventory values accurate. Reporting is available at individual location level and consolidated — compare outlet-wise revenue, margins, and stock values to identify your best and worst performing locations.

Why Textile & Apparel Businesses Need Multi-Location Management

Textile and apparel businesses deal with fabric measured in metres and kilograms, seasonal collections, multiple colour and size variants, and large bulk orders from retailers. ASTech ERP handles multi-unit inventory, variant management, and GST on textile goods so your operations run smoothly through every season.

Key Benefits

Unified view with location-level detail

See consolidated revenue, stock value, and outstanding across all locations from the main dashboard. Drill into any location for detailed transaction-level reports. No need to log in separately to each branch.

Controlled inter-location stock transfers

Formalise stock movements between locations with transfer orders. The system deducts from the source location and adds to the destination with proper cost accounting — no informal WhatsApp-based transfers that cause inventory discrepancies.

Role-based access per location

Staff are assigned to specific locations and can only see and operate data for their location. Managers can see their location plus reporting for others. Owners have complete cross-location access.

Comparative performance reporting

Compare revenue, average transaction value, gross margin, and inventory turnover across locations. Identify which stores are over-stocked, under-performing, or outperforming their benchmarks.

How It Works

1

Create locations and assign GSTINs

Add each branch, store, or warehouse as a location. If a location has a separate GSTIN (e.g., in a different state), assign the correct GSTIN. Each location maintains its own GST invoice series and returns.

2

Assign users and products to locations

Assign users to locations with appropriate roles. Products can be available at all locations or specific ones. Opening stock per location is set up once and maintained by transactions thereafter.

3

Operate each location independently

Billing, stock management, and daily operations run independently per location. There is no interference between locations — a peak-hour rush at one store does not slow down another.

4

Monitor from the head office dashboard

The head office view aggregates all location data. View real-time consolidated sales, pending transfers, outstanding receivables, and low-stock alerts across all locations from one screen.

Frequently Asked Questions

Can I have separate GSTINs for different branches in different states?+
Yes. Each location in ASTech ERP can have its own GSTIN. GST returns are maintained separately per GSTIN. When the head office transfers stock to a branch in a different state, the system creates the required tax invoice with IGST for the inter-state movement.
How many locations can I add to one account?+
There is no hard limit on locations. The Growth plan supports up to 5 locations and the Enterprise plan is unlimited. Adding a location is a configuration step — no new account or separate subscription required.
Can different locations have different price lists?+
Yes. You can assign different price lists to different locations. A premium outlet might use a higher price list while a wholesale outlet uses a trade price list. Product price lists are location-configurable without changing the master price.
How are inter-location stock transfers valued in the books?+
Stock transfers are valued at the weighted average cost of the item at the source location at the time of transfer. The destination location receives the stock at this cost. No profit or loss is created on internal transfers — only when goods are ultimately sold to external customers.
Can I track petty cash separately for each location?+
Yes. Each location has its own cash account in the chart of accounts. Petty cash receipts and payments at each location are recorded against that location's cash account, and the head office can see the cash position per location in real time.
