Payroll Management Software

Payroll Management Software for Real Estate Businesses

Process accurate salaries with automatic PF, ESI, PT, and TDS calculations, and generate payslips and statutory returns without manual computation

Running payroll for even 20 employees involves calculating gross pay from attendance, deducting PF (12% employer + 12% employee), ESI (3.25% employer + 0.75% employee), Professional Tax per state slabs, and TDS based on each employee's investment declarations. Getting any of these wrong creates compliance issues and employee disputes. ASTech ERP's payroll module automates all these calculations every month — you review the numbers, approve, and the system generates payslips, accounting entries, and statutory return data. The payroll module connects to attendance data (manual, biometric, or app-based check-ins) to calculate payable days and loss-of-pay deductions automatically. Salary revisions, arrear calculations, bonuses, and full-and-final settlements are handled without requiring a spreadsheet. Form 16 is generated at the end of the financial year from the system's tax calculation records, and 24Q TDS return data is available for upload to TRACES quarterly. The payroll accounting entries post automatically, meaning your salary expense, PF payable, ESI payable, and TDS payable ledgers are always accurate.

Why Real Estate Businesses Need Payroll Management Software

Real estate businesses — property developers, rental management companies, and housing societies — need to track properties, collect rents on time, manage maintenance expenses, and handle GST on real estate transactions. ASTech ERP provides a property management module that keeps rental income, maintenance costs, and tenant records organised.

Key Benefits

Accurate statutory deductions every month

PF, ESI, Professional Tax, and TDS are calculated automatically based on current rates, employee eligibility, and investment declarations. No manual calculation errors, no compliance risk.

Payslips generated and distributed automatically

Professional payslips with salary components, deductions, and net pay are generated for every employee at payroll approval. Send via email or WhatsApp with one click — no manual preparation.

Statutory return data ready for filing

EPF ECR (electronic challan cum return), ESI return, 24Q TDS return, and Professional Tax return data are generated from the payroll records and can be exported in the required formats.

Full-and-final settlement calculation

When an employee leaves, the FnF module calculates dues — unpaid salary, leave encashment, gratuity (for employees with 5+ years), bonus, and deductions — and generates the settlement statement.

How It Works

1

Configure employee salary structures

Set up each employee's salary structure with components: basic, HRA, DA, special allowance, and other allowances. Configure eligibility for PF and ESI based on salary thresholds.

2

Process attendance and run payroll

Import or sync attendance data. The system calculates payable days and loss-of-pay. Review the payroll summary showing gross pay, deductions, and net pay for each employee.

3

Approve and post payroll

Approve the payroll run to finalise figures. The system posts salary expense accounting entries, generates payslips, and creates PF/ESI/TDS challan data automatically.

4

File returns with exported data

Download EPF ECR for PF portal upload, ESI contribution statement for ESIC portal, and 24Q data for TRACES. All formatted correctly for the respective portals.

Frequently Asked Questions

Does ASTech ERP handle PF and ESI calculations correctly for all salary ranges?+
Yes. PF is applicable on wages up to ₹15,000/month (EPFO ceiling) with 12% employee + 13.61% employer contribution (including EPS, EDLI, and admin charges). ESI is applicable for employees earning up to ₹21,000/month at 0.75% employee + 3.25% employer. ASTech ERP applies these rules automatically based on each employee's wage.
How does TDS on salary work in ASTech ERP?+
At the start of the financial year, employees declare their proposed investments (80C, 80D, HRA, etc.). ASTech ERP calculates the annual tax liability based on projected gross salary less deductions and spreads the TDS evenly across the remaining months. If an employee updates their declaration mid-year, the TDS is recalculated from that month.
Can I manage employees on different payroll cycles (monthly and weekly)?+
ASTech ERP supports monthly and fortnightly payroll cycles. Different employee groups can be on different cycles. Reports can be generated per cycle or consolidated for statutory purposes.
How is gratuity calculated and when is it triggered?+
Gratuity is calculated at 15 days of last drawn wages for each completed year of service (minimum 5 years of continuous service). When processing a full-and-final settlement, the system calculates gratuity automatically and includes it in the settlement statement.
Does ASTech ERP generate Form 16 for employees?+
Yes. Form 16 Part A (TDS certificate) and Part B (salary breakup with deductions) are generated for each employee at the end of the financial year. They can be emailed to employees directly from the system. Data for 24Q quarterly returns is also available.
